Gawarrior 12-31-2003, 12:04 PM Ok, this will be the Official thread for all the info for the 2004 R1 Forum East Coast Convention at Deal's Gap. I will make all changes and updates here on the first post
Also, this is not an R1-Forum sponsored event. It is a bunch of us getting together for a really cool extended weekend of riding and hanging out. Everyone is welcome.
After doing a poll and asking several people it has been decided that we do it this year late spring/early summer. Also it is the same weekend as the FZ1 forums trip. Which should work out really well. Last year we got some bad weather leading up to the trip and caused a lot of people to not be able to come. That is another reason for the later date. I am sure with a little effort and help from other members this can be a really good and fun trip. And also some good early planning will help tremendously!
Here are the details to date:

You are more than welcome to come and go anytime during those dates. That is just when people will start getting there and checking out. I would make it a point to try and get there by Wednesday or Thursday, you will love this place during the weekdays!

Website: www.fontanavillage.com This is the same place that the FZ1 Forum is gonna be staying too. But I have already talked with the guys at the FZ1 forum and the people at Fontana. Neither has any problem with both groups being there at the same time and I have been assured there is plenty of room. Also, the Fontana is very close to the Gap right on Hwy 28 that leads to the Gap.
Rates:
6 person cabin: $159
Inn room $52
They have every level of accommodations between those two – look at their website and inquire of them by phone to make your choice. 1-800-849-2258. I would suggest making reservations as early as you can, everywhere fills up that time of year up there. Make sure you tell them you are with the R1 Rally so you get the special rates and so that they put you with us, if there are any problems ask to speak with John or Teresa or just let me know. They have blocked off a section for us. So start making reservations as soon as you can. For the guys coming up as singles I would suggest getting together with other folks on the Forum and splitting the cost of a small or large cabin. There are gonna be several cabins available. Some of them brand new!
Everyone is welcome – but please realize that this group is made up with many types of riders of different skill levels and desires. This is not about getting together to race, or to drag other people into riding above their limits! Everyone is expected to ride at their own pace and have a good time!
We’ve got several areas of preparation to take care of to make this come off well. I’ll be looking for people to cover these areas for us. Here are the positions I suggest:
Head guy: That will be me.
Funds collection/food purchase: BKR1 is gonna help head up this The esitimate for food right now is $15 per person total for the week, not per night, and that will be for a light breakfast each morning and dinner Thurs, Friday, and Saturday nights.
ZRider is gonna help also and GPD270 is suppling the plates, napkins, forks, spoons, knives etc.

Rides/Events planning: Earache is gonna get together some map and ride routes for us and sheets with directions, provide GPS routes to those that use MapSource / Garmin routing, can do mileage sheets and make a list fo stuff to do in some of the small towns for those that wanna ride two up with the wife / girlfriend.

BKR1 and I are bringing our dirtbikes too. We will be taking one day to go to Upper Tellico ORV trails to go dirtbiking. Anyone that wants to join us is more than welcome.

EMERGENCY INFORMATION
2nd Time (Eddie) is going to keep a spreadsheet with all the info on it of each person that is going. You will need to email the info to him and he will keep an updated list on excel. EVERYONE that is going needs to do this!

It is very important that you do this. His son will have this list back home while we are at the Gap and I will have one too. I may be out riding somewhere, Eddie's son will be available to get in contact with the whole time, that is why he is keeping the list.

If you need any help with coordination, its kind of hard since I dont live closer but I'll give as much assistance as possible. Maybe coordinating giveaways or raffles at the event. We do need to make a definite schedule of events. You know its gonna be great to ride together but obviously some guys will split off at times and ride other roads with other people and such. SO if we could set up a schedule for some parts of the day like
-breakfast meetings
-lunch (on your own)
-dinner meetings
-evening entertainment
-time and place for a raffle or giveaway
Of course places and times would need to be nailed down. If you show up, great if not then no problem. I think the biggest attraction will be the Riding and Socializing. So as long as that gets done, it will be a success.
Just some suggestions.

Everyone should have their phone numbers and they could be designated as a picked vehicle for a downed rider. Of course they could be compensated with gas money if needed.
Also, everyone should know the route to the nearest medical facility and have maps and phone numbers to it.
One more: Everyone should have an emergency medical sheet on them with information like

Blood Type:
Known Allergies to medication:
Medical Insurance Carrier:
Phone Number:
Considering we dont know each other that well, this information could be vital to contacting family or for the hospital if the worst case scenerio happens. It might be bad mojo, but consider what happens if you didnt have this information on you. Just good planning I think.

I completely agree with everything you have suggested. Everyone should have that vital info in a common place, say in their wallet or somewhere that everyone will know to look.
The Fontana Lodge is like a resort. It has meeting rooms, cabins and motel rooms. It is a pretty big place. So we would have to deditcate somewhere on the grounds as the dedicated eating place. And I agree, we will only worry about lunch and dinner. everyone will fend for themselves for lunch. I am gonna talk to the head guy at Fontana today or tomorrow and I will find out where a good spot for us to gather and eat each day would be. The FZ1 guys to day at the end of one of the roads. They setup an easy up and cook the food there, basically buffet style. I can get with whoever decides to head that up and figure out something. I like the suggestions. And if we get some people to take charge of the certain areas I am sure it will be a great success. But like you said, the main thing is to ride, meet some new folks, and socialize.
As far as the trucks and trailers. I will have my truck and trailer. And all the guys that I usually ride up there with will bring a truck and trailer. And I know from last year we will have more than enough volunteers to take someone to a medical facility and round up their bike if need be. So that should not be a problem at all.
As far as you helping me, I would really appreciate it. We can communicate by e-mail, phone, here or PM's. I guess the main thing is getting some people to coordinate the rides, food, and prizes and anything else we need.

Anyone using FRS/GMRS communicators? It could help avoid tickets/accidents.

It would be way too much trouble to have a backup date. June is normally the dryest month of the year in the south. So I am pretty confindent that we will have good weather. Out of 5 days we may get some rain, but we will have plenty of good weather too. As far as the communicators, that would be a good idea. I am sure some guys will have them and if so, we could set up some scouts so we could make some really good run!:rock
If some one goes down as soon as I know there is nothing else I can do at the scene I will go straight to my truck trialer and come after the downed bike , I will have extra tie downs , rags and duct tape , IF someone goes down !:p I have my emergency info inside the strap of my helmet folded in a little bag , we should also have a list at Fontana of everyone's info . Chad I will atleast handle food for thurs , fri , and sat . But me being the southern boy I am , its gonna be meat - potatoechips for dinner and eggs and bacon for breakfast :) Maybe have some fruits and Veggies . :fork

Gawarrior 12-31-2003, 10:32 PM Randy, that is a good attitude to take at the Gap. I was there 5 times last year and made several runs and am still very cautious up there. Especially the first few times through it. I hope everyone takes that attitude and comes back in one piece. The cabins are 159 per night for the cabin. That is a better rate than normal and you can split it by how ever many folks you can get in it. If you are interested in sort of being in charge of the picture taking that would be great. I don't think it would be that big a deal if you were already planning on taking a lot of pics. Just will mainly talk to the guys once everyone gets to the Gap and find out what everyone will want as far as pics are concerned. Let me know if you want to do it.

As far as Kneedraggers idea with the common info to call for help, I'd like to suggest what we do for the FZ1 board - I keep an excell spreadsheet with emergency contact info for everyone, who to call if they fo down, where they're staying, home location, cell #, if they're pulling a trailer, etc..
I don't want to allow all fo this info out because not eveyone wants it to be public knowledge, so here's what we do:
We've got two members Wives who I share this info with, along with a few of us who organize, and there will be one of us on any of the planned group rides..
Then, EVERYONE gets the contact number for those two ladies - if A guy is stuck away from the group, he just has to call them, they can look at the spreadsheet and cotact family if need be, or someone coming in from the same direction with a trailer space open, the members of the group so they know about the situation, etc...
The group also checks in with them a couple of times a day for messages - If you have a family emergency your family can contact them, and the message will get to you to call them when the group makes contact next. You can't just get a cell call anywhere up there, and it's comforting to have those two ladies helpig us!!
I'll gladly share the format with Chad so he can see what we do, and then he can let one of you go through the time consumption of collecting all that data!

Yeah, John told me he had just talked to you. He is gonna move the Magnolia that I have to closer where he is blocking off the cabins for us. I really like your idea of the spreadsheets with the info. I am gonna try and find someone to take care of that for us. Eddie's Wife is taking care of that for ya'll, right? I made a few trips with Eddie last year. I may get with him about it. Jonn also told me that ya'll are expecting like 175 guys. If we can get 100 I will be extremely happy.

That way if some of our members who like to ride a little easier want to go in that second group, they won't have to worry about being over-run by the faster group?

Will be traveling from Greenville NC., an hour east of Raleigh, if anybody needed a ride or trailer space. Please let me know if you guys have room for one more.

I could be talked into working up a trip to the Alcoa strip clubs if you want. It's a bit of a hike, but they are all nude and allow you to bring in your own beer/alcohol for a cork fee.
Just need a couple of volunteer sober drivers to get us there and back.

I can do the route sheets like I did last year. Or maybe publsih where I'm going each day and others can follow if the want to .
Hate to "lead" people in a parade though...
Also have GPS waypoints for most of the area if anyone needs those.

PJ, that sounds like a great idea. Especially staggering the starting times. I think we will plan on doing that unless the guys here have a problem with it. Earache also has some routes that he can print a bring too. I also think that if we have a very large group that wants to go on a particular route, we should maybe stagger it even more into smaller groups. Large groups at and around the Gap will be pretty hard to keep up with.

I talked with BKR1, he said he already has promised some other folks that they could ride together. So his ride is full. Sorry. I am sure there are some more guys over that way though.

The best thing I think would be to reserve another cabin, but you probably don't need a six person one. When I talked to them, they told me that there are some brand new (4 person I think) were they are putting us. If I were you I would reserve one of these. I am positive you will not have any problem filling it up. Just let folks know you have a cabin with extra room and you will get some takers.
I would have been more than happy to have saved a spot for you in ours, but we filled it up even before I started up this thread. Sorry.:(

I agree with that if there is no organization. But I, along with many others are working very hard to get this and the FZ1's group both run very smooth with little or no problems. We will have planned rides with all different levels of groups going out in time intervals. Safety is going to be our biggest concern. And believe me, it is going to be heavily stressed. From the group rides all the way to the individual riders going out on their own. It would be great if we had no incidents, but with a group of this size it is a good possibility. But we want to take every measure to try and prevent it.
Them main thing, DON'T RIDE OVER YOUR HEAD.
2. Ride at your pace.
3. Don't let anyone push you into riding past you limits on don't push anyone to ride over their head.
4. Respect the Gap, it can come up and bite you if you don't.
5. Respect your bike. Up there even more than ever. A liter bike is a lot to handle on those tight turns!
6. And respect the other riders.
If anyone one has anything to add to this please do so.
This trip is to meet an see a lot of people we would not ever get to meet otherwise from the Forum. And in the case this year, from 2 Forums. The socializing is probably a bigger reason to go even than the good riding. I do hope we can get as many people as we can to come to this, but I DO NOT want anyone to be UNSAFE or to get hurt and will do whatever it takes to prevent that.

And I am going to suggest no more than 4-5 guys in a group when staggering. And definetly no big groups through the Gap. There is nothing good that can come from that.
I actually have a group of guys that I have been to the Gap several times with. All of which are coming up. And will do most of my riding with them. I may not do any "planned" rides. If I do I will leave way before or way after all the others and take the same route. I completely understand your feelings about this.

You are 100% correct on this. But I think the limits can be pushed in a safe controled way. No matter what a lot of people may think...the Gap is NOT a track. While the road is quite smooth, there is oncoming traffic, possible grave, maybe an animal crossing every once in a while. And if you do happen to go off the road, it is not very forgiving.:no
So my suggestion when pushing yourself is, save 100% for a trackday, and at most go 70% of what you are capable of up there. I heard it best a long time ago from someone "I don't think Honda is looking to replace Nickey Hayden anytime soon, and if they were they are not going to be searching for them at Deal's Gap"

If I had not gotten this new PC for Christmas I probably would not be heading up this trip. It is so fast and so easy to do things on there is no way I could have done it on my old computer. :no
I was thinking about what we are gonna do about some videos too. If we could somehow digitally shoot videos and save the footage to the computer, then I along with some others could then just burn the videos onto DVD's and send them out to whoever wants them. Maybe for a small fee. It would be easy once the footage is downloaded on the computer.

The Cherohala is always fun and so is the ride on 28 from the CROT down to Fontana where we are staying. I have actually been up there before and only ridden the Gap 2 times in a weekend. Spent the rest at other places. There is plenty of good riding other than the actual Gap up there. The Gap is by far the most difficult.

I've tried to get guys to go down there before, but it make s a long assed day when you leave the Fontana area and head down there.
Just stay out of large groups and you'll be fine - piss off and leave them or hang way back and ride behind them.

We have already planned to have dinner cooked on Thursday night, Friday night, and saturday night. Plus we will have snacks and light breakfast for everyone each morning. That is what the $15 per person will cover.
I will setup the arrangements for everyone to start getting their money to me in a few days. I am gonna make a list of everyone that pays to make sure they eat. And want to get the $$ ahead of time so we can go ahead a buy the food to bring with us.

Skeeter 01-04-2004, 03:49 PM Man it happened today. :fact I still can't believe it. I laid my bike
down on this mornings ride. Me and two other forum members
did a nice ride on the back roads through the orange groves. He
over shot a turn and started to skid and fish tail. I had no where
to go and ended up low siding that put me next to a orange
tree in the grove. I saw it coming and was able to shave off much
of the speed. It happened so fast, plus I think there was some
sand on the road where the turn was, so that didn't help things
any. The bike had my left foot and leg pinned for a short time.
I know one thing for sure I'm glad I had on my JR racing boots
and all my gear on. My left wrist was hurting some, but seems to
be ok now.
Damage Report: I came out real good.
1. One broken left turn signal (which I can fix)
2. One sand scraped left lower pannel (not too bad)
3. One scratched stator cover (I will repaint it)
4. One o-ring chain stuffed full of sand.
This scared the living shit out of me. Everything was going along
fine and BAM!!! I'm ok and the bike is ok. I tell you what, like
everyone says "You will go down sometime" I guess it was my
time. I for one will be in the grandpa line the first few times I do
the gap. At least until I learn the roads a little.

Gawarrior 01-04-2004, 03:58 PM I hate to hear that Randy, but I am really glad you are ok. If you have to go down that is about as good as a result as you can ask for. I did pretty much the same thing at my first trackday. A little lowside but I only scratched the left engine casing. Thank God for Earache's sliders:yesnod Brused my left thigh pretty good but was fine by the end of the week. It taught me a lot too. And I am glad I did it where I did. Take this lesson and learn from it and hopefully it will not happen again. I know you are glad you had that gear on:yesnod.
You will be fine at the Gap. But like you said, take it very easy your first several times through it.

PJFZ1 01-05-2004, 11:30 AM Hey Guys - I'm following along... you're going through the same stuff we did last year... and let me tell you - all the concerns will work out - Chad's doing a great job!!
Things to mention - Ride routes - we had 3 laast year - A long on to T.W.O./Suches, The loop over Cherahola to Tellico and around to the west, and one to Franklin - We had times to meet to go as a group, or you could go on your own... I figure this year we'll have 2 times - say 9 A.M. for the fast group with the R-1's, and 9:30 for the more relaxed riders... plus people can just go on thier own. Having too many people won't be an issue - just ride your own ride - if the group bothers you, pull over and let them go!
As far as the gap itself - people are mentioning it as a group ride? NO WAY - the ride may pass over it, but there are no organized groups on there - I'm not ever going to try to keep a group together there - you just go meet at the other end.
One thing - if you go with the group, there should be someone who knows who's taking up the rear, and looks for that person at each stop/turning point to be sure you didn't lose anyone... If you're going to split off from the group - make sure you tell someone in the group so no one thinks that you're lost! These are all little things you should cover at the ride briefing, but it's all short and sweet - you don't need 10 minutes of talk to get the group going, just a couple of basic rules to keep everyone safe and happy!
The idea 0f seperating people by riding experience? I can give you about a dozen reasons not to try it - all you can do is make sure everyone understands the basic rules of riding with the group, the route, and how to do thier part. Other than that, have fun and make the ride!
Also - Don't forget this is a dry area with very few ATM's - bring your cash and beverages! (but don't ride after that drink - I'm likely to jerk you off of your bike!)

We are working together to make this a great experience for both groups. PJ has been very helpful in helping get things organized and started to this point. He did this last year for the first time for the FZ1 forum. So he knows more of what to expect.
Guys don't forget this is a dry county, so if you want beer or any other alchoholic beverages you need to bring it with you. The food fund will not coverge beer or alchohol:no :( Sorry.
One other thing. I was thinking, we probably need to start trying to round up some prizes to give away while we are there. If anyone can donate or knows of someone that will donate anthing let me know so we can add it to the list. I would like to have some cool prizes to give away while we are there.

I agree Jason. I think Brian and I are gonna meet GNYHUF up there sometime the beginning of May. But we may make a trip even before that. Highly likely!:D I think we will be camping at the CROT both times. So I assume we can count you in too?

Two trips before the big one sounds good to me. I would ssy that PJ will be doing the same. May need to cordinate for the same weekend. But if we don't then we can cover more routes.:dunno

I just got the contract from Fontana. They are hooking us up with some really good rates and also have already reserved several cabins and rooms.
As of right now, they already have set aside just for us the following:
2 Inn Rooms
4 2 BR/1 BA Laurel Cottages
6 2 BR/1 BA Hemlocks
3 1BR/1 BA Willow Cottages
2 3BR/2 BA Magnolia Cottages
Those are just for us. But when I talked to them they said that they could handle however many people we are able to bring.

Speedfreak and myself both have young boys( three and four yrs. old) that love bikes. I've always wanted to do Deals Gap and am glad to see that riders of all levels are incouraged to participate. Is the 15.00 for food for each day or is it a flat fee per person?

First off the $15 is a flat fee. $15 per person which will include dinner Thursday night, Friday night, and Saturday night. It will also include a light breakfast thursday, friday, saturday, and sunday mornings. So yes, just $15 total per person.
I will add you both to the definate list, please let me know if I should not, but it sounds like that ya'll are coming.
The Fontana area is a great place for a family vacation. They have lots of activities for all ages. I am sur ya'll will have a blast.:yesnod It is a good idea to trailer up too. I do and I am only about 2.5 hours away. But there will be lots of trucks and trailers there, so we shouldn't have any problem finding one if we need it.
We are really glad ya'll are gonna join us.:jump

I hate to hear that he looped his bike, but he said that he was coming so I added him to the list. If you hear anything different please let me know. He may have gotten kicked off the forum for some of those pics he posted, I don't know. Until I hear from him or you I am gonna assume he is still in. I just gave my 4 year old nephew a pw 50 for his birthday , we were going to give it to him at christmas but we held off . I rode it all over the yard in our 3 " snow tonite , its a blast ! I surprised him tonite with it at his birthday party and I dont have all his gear yet so he hasnt ridden it , but he watched me ride it all over the yard in the snow ! i have training wheels for it but they make some better ones I am going to get . He cant touch the ground on it so hes gotta learn with , but I dont plan on letting him have them on long or he will ride on one all the time . I started at 14 on a 3 wheeler , and was pretty fast . I hope he just rides smart so my family doesnt get mad at me !:lol

I got a good deal on it but the tip was damaged and I had to sand it down and polish it. While it looks okay, it doesn't look like a Mig tip anymore. Does anyone know where I could get one besides Eurobikes? A used one in good shape would be cool.

Georgia mountain roads, 2.5 hours from Deal's Gap, 1.5 hours from Barber Motorsports Park, and about 45 min from Road Atlanta.:rock And we get plenty of great riding weather. I can't really complain.:no

Randy and the FL. boys.....my area is a good stopping over spot for the trip. My town in SC is 30 minutes west of the I26/I95 junction on I26 on the way to NC. Takes about four hours to the Gap from here. Leave here @ 6 am with some coffee and be at the Gap by 10 for check in. Plenty of inexpensive rooms around this area too...I have some room at my house if anybody wants to stop over. Son is off to college and I'll send my wife and daughter shopping!

ZRider 01-11-2004, 09:54 AM I put a piece of wide white medical tape on the top of my tank ahead of the gas cap. I use a sharpy and write all of the vital info on it for road trips. Not a bad idea if you ride alone a lot either.

That's what we were thinking about doing. Leaving Tuesday afternoon and driving north until we got to north Georgia area and finding a room then moving on toward Fontana Village in the morning. Is check in at 10:00 a.m. ? I've made reservations but have not recieved my letter yet. I didn't think I had to go through South Carolina to get up there. Could you suggest a place in your area?

ZRider 01-11-2004, 10:12 AM You have to go through here to get to the Gap unless you go the back way up through GA which is a slow go. I'm in Orangeburg, SC which is almost in the center of SC. I ride 301 from here to central FL or hit 95 to follow the coast down. I'll start checking on some group rates if you guys want to use this as a stopover point. Several local hotels are customers of mine.
Jimsab 01-11-2004, 10:18 AM The guys from Ontario will at the gap on Monday evening and we will be staying for the week. This way we can ride the Gap all week when it's not busy. We will probably riding down 1500miles.
Can't wait for June.
P.S. it has been -30 up here and now it is snowing.

What we are gonna do it cook out each night. Brian is in charge of the food. I am taking up $15 per person for the week. That includes dinner Thursday night, Friday night, Saturday night, and light breakfast each morning. YOu can mail me a check or paypal it to me.
The food $$ doesn't include any alchohol, sorry. You will have to bring your own Butt Light:lol That is a special request from Earache:D
